Cooling Off Period
<p><strong>For 25-26 AY: -</strong></p> <p><br></p> <p>1. You can cancel your booking anytime <strong>up to and including 31st July 2025</strong>. After signing your contract, you still have a <strong>3-day window </strong>to request a cancellation. This is known as your 3 day cooling-off period (as once you sign the contract and surpass this 3 day period, you’re tied into the contract).</p> <p>2. To inform the property that you wish to cancel, you must submit a Cancellation Request on your online property's portal account under the “Your Requests” tab within your 3 day cooling-off period. The property team would then check your online portal request was made within your 3 day cooling-off period, and if you are, they’d let you know the next steps.</p> <p>3. If however you signed your contract on or before 31st July 2025, but you request to cancel outside of your 3 day cooling-off period, then you will be tied into the contract until a suitable replacement tenant is found and the replacement subsection of clause 9 of your contract is met.</p> <p><strong>Please note: </strong>If your tenancy has started and you have occupied the room, you will be charged £50 to cover their costs of preparing the room for the Replacement Tenant. <p><strong>For 25-26 &amp; 26-27 AY: -</strong></p> <p><br></p> <p>If you are coming to study from outside of the UK, and you require a VISA for this study but your VISA application is unfortunately denied, then you are able to cancel your contract as long as your contract has not yet started. You will also need to provide one of the following as supporting evidence, and there will be no penalty for your cancellation:<br> 1. Letter of confirmation of your VISA rejection showing your full name and rejection details (all details to be on the one same letter)</p> <p>2. College/university letter showing your full name and course name, alongside details of failing to gain a place on the course (all details to be on the one same letter)</p> <p>The property would still need you to submit your Cancellation Request on their online portal account under the “Your Requests” tab, where you can also attach a copy of your supporting evidence.</p> <p><strong>Please note: </strong>If your tenancy has started and you have occupied the Room, you will be charged £50 to cover the costs of preparing the Room for the Replacement Tenant.</p>

<p><strong>For 25-26 &amp; 26-27 AY: -</strong></p> <p><br></p> <p>1. If you’re going into your 1st year at university (applicable to Foundation or 1st year Undergraduate students only), and you unfortunately do not achieve the required grades for your course, you will be released from your contract providing the property receive a cancellation request and results evidence <strong>within 48 hours </strong>of your results being published (both submitted on the property's portal).</p> <p>2. Your results supporting evidence can be supplied from UCAS or your college/university showing your full name and the results outcome. Please submit your Cancellation Request on your online property's portal account under the “Your Requests” tab, where you can also attach a copy of your supporting evidence.</p> <p><strong>Please note:<br> </strong>1. This section applies to anyone going into their 1st year of study of a Foundation course, or their 1st year of an Undergraduate degree.<br> 2. If you’ve already had a Foundation year, but then apply to live with them for your 1st year of an Undergraduate degree but wish to cancel your accommodation based on this ‘1st year guarantee’, it wouldn’t be applicable to you unfortunately as you had already studied your 1st year as the Foundation course – so you’d technically be in your 2nd year of study.</p>
Replacement Tenant Accepted
<p><strong>For 25-26 &amp; 26-27 AY: -</strong></p> <p><br></p> <p>1. You will only be released from your contract if a suitable replacement tenant is found and the replacement subsection of clause 9 in your contract is met&nbsp; (the replacement would pay the room type price displayed on their website at the time of their application being submitted&nbsp; –&nbsp; not the price on your contract).</p> <p>2. If a suitable replacement tenant is found for your room (and the replacement subsection of clause 9 of your contract is met) before your contract start date, the property will release you from your contract once the new tenant has signed their contract (and surpassed the 3-days cooling-off period, if applicable).</p> <p>3. However, if a suitable replacement tenant is found for your room (and the replacement subsection of clause 9 of your contract is met) after your contract start date, they will release you from your contract from the date that the new tenant’s contract starts. This means that you’d be liable for the room’s rent up to the date that the new tenant’s contract starts.</p> <p>4. To confirm, once a suitable replacement tenant has been found to take over your contract, there are a number of actions to be completed before they can release you from your contract.</p> <p>This is the replacement subsection of clause 9 stated in your contract, such as:</p> <p>1. A replacement tenant has been found who has been approved by the property as a suitable tenant.</p> <p>2. The replacement tenant will be charged the rent price of the room at the time of their application/takeover request<br> 3. You have paid any administration fees owed to them for transferring your tenancy along with any rent owed on the room up to the end of your tenancy period<br> 4. Paid any reasonable charges that are ascertained during an inspection of the flat and room at the end of your tenancy period.<br> 5. How do they allocate rooms?

When you ‘Submit’ your application, their Sales Team will look through your application, check to find you the best room available and send you a ‘Room Offer’ email.

Can I live with my friends or specify preferences for my flatmates?

Of course! Just state your friend’s names on your application, with them doing the same too. You can also say if you have a preferred gender or year of study for your flatmates.

They’ll try their best to meet your preferences but it’s not always guaranteed and is subject to availability.

Of course! In fact we encourage you to come and have a look around. We may not be able to show you your exact room, but you can see the show flats they have available at each site. All you need to do is call the Sales Team.

We also have lots of pictures and even 360 degree photos of different rooms on our website as we understand our students are from all around the world and it’s not always easy to visit the site!

What is included in my rent?

All-inclusive utility bills, Wi-Fi and contents insurance are all included in your rent!

Can I change my contract once I’ve signed it?

If you want to change things like your room type, room number, contract length or anything else, just get in touch with the residence team or email them.

They can then let you know if your request is possible, and if so, what the next steps would be and if any charge or change would occur.

Can I bring my pet?

You’ll unfortunately have to leave your beloved animals at home – they have a no pet policy across all of their sites.

Do you provide bedding?

You can order through their partner Uni Kit Out who provide amazing starter kits from bedroom packs to kitchen essentials. They’ve got you covered if you need to kit your flat out!! What’s even better, is that if you have booked to live with the residence, you get an amazing 10% discount on Uni Kit Out’s kitchen packs. When can I move in?

You can move into your room from the date your contract starts, only if you have paid your correct rent amount and provided all documents. If you’re unsure of when your contract starts, your contract can be viewed in your portal account’s ‘Messages’ section.

Can I store luggage at my site?

Due to them getting your room ready for when you arrive, they will not be able to store any luggage at their residences. You will be able to move your belongings into your room once you have collected your keys.

Are there any documents I need to bring with me?

You need to have provided all documents to support your room booking before you can check in. If you are unsure if you have already done this, or need to speak to someone about it, please call the team or email them.

Other than that, you will need to bring a form of photo ID with you so you can collect your keys – they just need to know they’re handing them out to the correct person!

What if I’m arriving out of office hours?

If you think that you’ll be arriving out of office hours, you will need to speak to your site team – their contact details will be listed in the arrival pack you’ll be informed about via email nearer the start of your tenancy. Each site has different out of office services so you will need to speak to your site about it.

Where do I get my keys from?

You will collect your keys from your site’s reception, unless otherwise stated by your site or residence team.

Can I park my car when unloading my things?

They do have car parks at most of their sites but to find out if your site does include one, please contact the office.

On contract start dates, parking your car is free – parking at any other time will incur a charge. Please contact your site team for full costs and details.

How do I get from the airport to your site?

Make sure you book airport transfers in advance. If you prefer to take the train, look out for the stations that are closest to you:

MSV: The nearest train station is Oxford Road, a 5-minute walk from them.

MSV South/ The Grafton: The nearest train station is Oxford Road and then hop on a bus just outside the Palace Theatre. Look out for bus routes 41, 42, 43, 142, 143, or 157. After 10 minutes, get off at Whitworth Park and take a short 2-minute walk to their halls.

Cathedral Campus: The closest train station is Liverpool Lime Street. From there, they’re a 5-minute taxi ride away.

Castle Gate: Nottingham train station is just a 10 minute walk away.

Garth Heads: Your nearest station is Manors which is a 2 minute walk to the site

Hotwells House: The nearest train station is Bristol Temple Meads, you can get a taxi from outside which will take 10 minutes

What can I expect when checking in?

It will be busy, so please be patient with them. They’ll try to keep the queues short as they check everyone in. To keep you going, there will be light refreshments in all site receptions.

For a quicker check-in, let them know when you are coming, so they can gauge the number of students as well the times of arrival, to ensure their sites are staffed correctly.

Top Tip: make sure you don’t unload your car until you have your keys. Or you could be waiting with all your belongings in the queue.

How do I stay connected with others?

A great way of staying connected is staying social! They have different social media accounts which helps to keep you up to date with what’s happening at your site. These include Facebook,Tik Tok and Instagram.

Will there be any events happening at my site?

They’d love all of their residents to get to know one another and make lifelong friends! As a way to help this, they have a Student Engagement team who are always trying to find the next best thing to make your stay more enjoyable – this includes holding fun and exciting events throughout the year!

If you have any event suggestions, the Residential Life team would love to hear them.

If I have any queries about my stay, who can I speak to?

Their friendly Accommodation Teams are always there should you need someone to talk to. You can either pop down to the office or speak to them, or they’re only a phone call away – just use these details.

Can I have guests staying over?

Of course! You can have any one guest staying overnight for 2 nights in any 7 day period – they must be signed in and out at your reception.

Is there any security on site?

Your safety is their priority so all the properties are equipped with security cameras.

Their Manchester Student Village site has 24/7 security, whilst MSV South and The Grafton have mobile patrols to ensure you’re safe at all times. You can also contact the Manchester security team out of office hours.

If you’re a resident at their Weston Court sites and need to speak to someone out of office hours, you just need to call the normal office number, their out-of-hours team will be able to help you with any queries.

Their Cathedral Cathedral site has a 24-hour security presence, which is provided by the Cathedral’s security team.

Garth Heads and Hotwells House have mobile security patrols to cover their sites when the office is closed.

Do I need to pay for contents insurance?

They are partnered with Cover 4 Students and they have arranged contents insurance for all their students staying with them in their residence at no extra cost to you.

Is there wi-fi at my site?

Of course! The Wi-Fi is included in your rent. Your internet connection is provided by Glide.

Where can I park my car? is there bike storage?

They do have car parking and bike storage at their residence, please call them to check if the property provides these facilities. Please note that you will need to pay to use a car park space – please contact your site team for full prices and details.

How do I receive parcels and post at my site?

They’ll sign for your parcels at your site’s office during working hours, but your letters will be delivered to your flat/house door by Royal Mail. To check out your site’s working hours, please contact them directly.

They can only sign for parcels on your behalf if the parcel has your name and your flat/room number on it. Therefore when ordering items online, please make sure you provide the shipper with your full name and room number. Parcels without full details will not be signed for.

After they sign for your parcel, you’ll receive an email notification from them – please bring along your photo ID when collecting parcels at the reception.

Where can I do my laundry?

They have laundry facilities at most of their sites, but please contact your site directly for more information. Where they do provide laundry onsite, they work with their laundry partner Circuit to ensure that their rates are competitive.

Communal cleaning in my flat

The communal areas of your flats are your responsibility. All landlord areas will be cleaned by them on a daily basis.

If you are lucky enough to live with them at Garth Heads, Newcastle you will get your communal flat areas cleaned for you every two weeks at no extra cost.

Electrical equipment?

When using electrical equipment on your site please follow some simple rules

  • Only use electrical items purchased from the UK
  • Do not overload sockets
  • Do not leave items plugged in unattended
  • Do not use kitchen appliances in your bedroom

It is your responsibility to ensure that the electrical items brought on to the site are safe and free from defects. Do not use any appliances that are broken, have frayed or exposed cables, are showing signs of overheating or dangerous or loose connections.

On inspection, if their team finds any appliance that would be deemed unsafe, this appliance will be removed.

Can I stay at my site until my contract end date?

Yes, of course you can! All students are allowed to stay with them until the last day of their contracts. On the last day, rooms must be vacated, and keys handed to reception by 10am. All residents will have their room/flat inspected within 7 days of their contract end date.

Where can I book?

Summer stays are available in Liverpool and Manchester, with short term academic year stays available in Newcastle, with a large variety of rooms on offer. They welcome all bookings from large groups to single stays!

Can I live with you? do you accept students in different years of study?

I’ve really enjoyed living at Hotwells this year. It’s my first year and perfect for anyone studying at Bower Ashton, as it’s so close! Nice spacious kitchen and lounge area; most student accommodations I have seen do not have lounge areas or even a television. The location is perfect; it’s right opposite a spar, just a couple of minutes away from the local pub, and the harbour is right on your doorstep. Not only that, but it’s also a convenient walk into the centre, and if you’d rather get a bus, there’s a bus stop practically outside the building. I’ve only ever come across minor issues, and maintenance comes pretty quickly to help out! No problems with noise, and I like that it’s slightly smaller than the bigger accommodations in Bristol as it feels a little more private. Checking in was also super easy, and I soon settled in quickly. I would defo recommend it!

Living in Hotwell House was definitely fun and exciting. Loved the location and free access to the gym and pool table in the reception area. I also met a lot of like-minded people and made many new friends. The management team were also very friendly and helpful.

I was so relieved to move into Hotwells house as it is such a far cry from the manic experience of university halls! I was greeted by lots of friendly faces and a spacious room. The kitchen I share with 2 flatmates is really clean and modern, and the living area is large with a new tv - it’s excellent. I would highly recommend it.

I had a great experience checking into Hotwells House. The lady at reception who checked me in was very helpful and welcoming. To top it off, the location is lovely, right on the harbour side which makes for lovely walks and has enough shops close by to do a quick shop without being in the noisy centre. (although it is close enough to walk to the centre if you want to).
